What a repair order is for

A repair order, a work order and Quebec's bon de travail are the same sheet: what the customer asked for and what they authorized. Write down the concern in the customer's own words, the jobs they agreed to, and how and when they agreed. If there's ever a dispute, that sheet is what shows who asked for what.

When the customer says yes over the phone

The signature line covers the counter. Most of the regions we've read also say what to write down when the yes comes by phone or text, and those details differ.

RegionWhat to record for a phone authorization
CaliforniaThe date, the time, the name of the person authorizing and the number called (16 CCR §3353.1)
New YorkNoted "on the invoice", with "the date, time and manner of authorization and by whom such authorization was given" (15 NYCRR §82.5(b))
MichiganThe person, the time of day, the amount authorized and the total discussed (MCL 257.1332)
WashingtonThe date and time, the added parts and labor, the estimated cost, the employee, and the name and number of the person authorizing (RCW 46.71)
OntarioThe name, the date and time, and the number or how they can be reached (O. Reg. 17/05, s.49)
QuebecThe date, the time, the name of the person who gave it and the number dialed (LPC art. 172)

Choose how the customer authorized the work in the form above. Where the region asks for those details, they print as their own block on the sheet, and the list above the sheet marks anything you left out.

The replaced parts

Most states put the replaced parts on this page, because the customer has to choose before the work starts. Michigan prints a notice in capitals on the estimate and the authorization (MCL 257.1333(2)). California has the parts offered at the work order (B&P §9884.10). In New York, a customer who authorizes by phone is presumed to want the parts back, with no waiver by phone (VTL §398-d). The notices print in the statute's words, with the citation and the day we read it.

One job, four documents

What you type here stays in this browser and carries across. The estimate you wrote this morning is the repair order when the customer signs, the invoice when the work is done and the receipt when it's paid. The hours are whatever you type; this tool never suggests a labor time. Press Print, then choose your printer or Save as PDF. It prints on US Letter.

What each state and province asks for on a repair order

Each line has its section and the day it was read. It's a reading of the rules, not legal advice. A region without a rules page yet prints the national minimum in the generator above.
